Staff Communications Moderation Owner Compliance Audit

When staff use your business account for work communication, proper oversight and moderation become necessary. ReceiptRoller provides a dedicated screen for business account owners and store managers to review and manage all communications.

How to access it

Open it from the business account menu under "Communications Moderation." Only members with owner or store manager permissions can access this screen — general staff cannot open it.

What you can review

  • All announcements and threads within the business account are listed, including archived ones
  • Each thread shows its participants, the date and time of the last message, and its archive status
  • The thread detail screen lets you review every message in chronological order

Deleting inappropriate messages

You can delete a message using the trash icon next to it. When deleting, you can enter a reason, and a system message reading "1 message was deleted by an administrator. Reason: [reason]" is posted to thread participants. This is deleted openly rather than silently, so participants are kept informed.

The body of a deleted message is no longer displayed, but the original text is preserved in the audit log. A complete record is kept of who deleted which message, when, and why.

Closing a thread

Use the "Close Thread" button on the thread detail screen to stop new posts to that thread. A system message reading "This thread was closed by an administrator." is posted to the closed thread. The history remains available for reference at any time.

Deleting an announcement

Announcements that are no longer needed, or that you judge to be inappropriate, can be deleted from the moderation screen. Deleting one also removes it from the inbox of every staff member it was sent to.

CSV export for compliance

Use the "Export CSV (Last 90 Days)" button to download announcements and thread messages for a specified period as a CSV file. The file is output as UTF-8 with a BOM so it opens correctly in Excel.

  • Defaults to the last 90 days. The period can be changed via a URL parameter
  • Deleted messages are also included, flagged as deleted, with their original text (for audit purposes)
  • The file has two sections: announcements, and thread messages (one row per message)

Operational tips

  • Every deletion or closure is recorded in the audit log, so you can trace who did what and when, giving you peace of mind when moderating
  • Since the deletion reason is shown to participants, we recommend writing something specific to avoid confusion
  • Exporting CSVs periodically and archiving them in-house also helps you meet long-term record-keeping requirements
