Specifying Distribution Segments
Instead of sending a notification to all customers at once, distributing only to customers filtered by conditions (segments) significantly increases both open rates and conversion rates. ReceiptRoller lets you freely combine various customer data fields to build segments tailored to your store's purposes.
This article covers how to create segments, available filter conditions, previewing recipient counts before sending, and common segment examples.
What is a segment
A segment is a reusable filter configuration that bundles "a group of customers matching a condition" into one. By saving conditions your store frequently uses as segments — like "Gold members," "no visits in the last 30 days," or "customers with a birthday this month" — you don't need to rebuild the conditions every time you send a notification.
Segments are dynamic. Once saved, a segment's contents are refreshed by referencing customer data at the time of each distribution. A customer who "was a Gold member through last month but dropped to Silver this month" is automatically excluded from the segment.
Available filter conditions
Membership attributes
- Membership rank: General, Silver, Gold, Platinum, etc.
- Member number issuer: issued by store POS / issued by app / manually issued by staff
- Registration channel: Web / iOS app / Android app / LINE Mini App / storefront QR
- Registration date: within X days of registration / before X days
Visit and purchase behavior
- Visit count: cumulative X or more / X or fewer
- Last visit date: within the last X days / more than X days ago
- Cumulative purchase amount: ¥X or more / between ¥X and ¥Y
- Average purchase amount: ¥X or more per visit
- Purchase category: customers who purchased items in a specific category
Personal attributes
- Birth month: birthday this month / born in month X
- Age group: calculated from age at registration
- Gender: male / female / not specified
- Residential area: postal code / prefecture
Notification opt-in status
- App notifications: permitted / not permitted
- LINE friend status: added / not added
- Email opt-in: permitted / unsubscribed
Store (for multi-store operations)
- Registered store: which store the customer registered at
- Primary store: the store visited most often
- Number of stores visited: single store only / multiple stores
Combining conditions (AND / OR)
You can combine multiple conditions to build a more precise segment.
- AND (meets all conditions): for example, "Gold member" AND "no visits in the last 30 days"
- OR (meets any condition): for example, "birthday this month" OR "birthday last month"
- NOT (exclusion): for example, "Gold members" excluding "test accounts"
Conditions can be nested. Example: (Gold member OR Platinum member) AND has visited in the last 30 days AND app notifications permitted
Checking the recipient count before sending
As you build segment conditions, a real-time display of the matching customer count appears on the right side of the screen. Since the number updates each time you change a condition, you can confirm "how many people this will reach" before sending.
For example, changing "no visits in the last 30 days" to "no visits in the last 60 days" lets you see the target count decrease on the spot. This is useful for checking that a distribution won't unintentionally reach a range of customers you didn't intend.
Steps to create a segment
- Go to the store management screen → "CRM" → "Customer Segments"
- Click "New Segment"
- Enter a segment name (example: "Gold Members - Dormant")
- Add filter conditions (multiple can be added)
- Toggle AND / OR to combine the conditions
- Check the matching customer count shown on the right
- Click "Save" to create the segment
Once saved, you'll be able to select the segment you created from the "Recipients" selector on the notification distribution screen.
Common segment examples
The following segments have proven effective for many stores. Use them as a reference when creating your first segment.
- New member welcome: customers within 7 days of registration. For welcome coupon distribution
- Win-back for dormant customers: no visits in the last 30-90 days, with 2+ visits in the past. For "long time no see" campaigns
- Birthday month coupon: birthday this month. For birthday-specific offers
- Loyal customers: cumulative purchase amount ¥100,000 or more, or 20+ visits this year. For VIP-only offers
- Close to rank-up: one step away from the criteria for the next rank. For "rank up with just ¥X more" campaigns
- Category-linked: recommending coffee equipment to customers who recently purchased coffee beans, etc.
- Nearby area only: customers living within a postal code radius of 3km from the store. For flyer-alternative distribution
Ad-hoc distribution (without saving a segment)
For a one-time distribution, you can also specify conditions directly and send without saving a segment. On the distribution screen, choose "Specify conditions directly," build your filter, and proceed straight to sending. This is convenient when you have no plans to reuse the same condition later.
Managing segments
- Edit: you can change the conditions of a saved segment later. Changes take effect from the next distribution onward
- Duplicate: when creating a segment with similar conditions, it's efficient to duplicate an existing segment and then edit it
- Delete: segments no longer in use can be deleted. Past distribution history is retained
- Sharing: segments are shared within the store's business account. Segments created by other members can also be selected when distributing
Notes
- Since segments are updated dynamically, the target count may vary depending on the execution timing of the distribution. For example, after setting up a scheduled distribution, if new members matching the criteria are added before the execution time, they will also receive the notification
- The more complex the conditions, the longer the calculation may take at distribution execution time (for large-scale customer databases)
- To target a specific individual and send "only to this customer," please use "Individual Distribution" from the customer profile screen. Segments are designed for targeting multiple people
