Checking Timecards and Correcting Punches

Staff Management Timecards Punches Time clock PIN Shift Management Payroll

This article explains how to check each day's clock-in and clock-out punches, and how to fix missed or mistaken punches from the dashboard. It also covers the monthly totals and the CSV export for payroll.

Set a time clock PIN

Staff punch on the terminal by the register: they choose their name and enter their time clock PIN. You set the PIN for each staff member in the dashboard.

  • In staff management, open the staff member and enter 4 to 6 digits under "Time clock PIN", then save.
  • The PIN is never shown on screen. If a staff member forgets it, set a new one.
  • To stop a PIN from working, choose "Remove time clock PIN" from the "⋯" at the top right of the staff page.
  • After five wrong PINs in a row, that staff member cannot punch for 15 minutes.

Check a day's timecards

Open "Timecards" on the store page to see each staff member's planned shift, actual hours, breaks and worked time for the day. Change the date at the top of the page.

  • Missed clock-out: shown when a shift has had no clock-out for 16 hours or more since clocking in. It disappears once you add the clock-out.
  • +1:00 vs plan and similar: shown when worked time differs from the planned shift by 30 minutes or more. Only finished days are checked.
  • Working: the staff member has clocked in and not yet out.

A shift that runs past midnight is shown on the day it started.

Add a punch

Choose a staff name in the list to open their punches and corrections for the day.

  • Under "Add a punch", choose the type and the date and time, then save.
  • If a break was not punched, choose "Break (start and end)" to add the start and end together.
  • For a clock-out after midnight, enter the next day's date and time. The added clock-out is listed under the next day.
  • A punch that would put clock-in, breaks and clock-out out of order cannot be saved. For example, you cannot add a second clock-in in a row.

Fix or void a punch

Punches cannot be edited or deleted. Void the wrong punch and add the right one. A voided punch stays on the record, marked as voided, with its reason.

  • If only the time is wrong, choose "Fix time" from the "⋯" next to the punch and enter the correct date and time and a reason. The original punch is voided and the correct one is added in one step.
  • If the punch should not be there at all, choose "Void punch" from the "⋯" and enter a reason.
  • If later punches follow it, void them first, starting from the latest.
  • Punches added from the dashboard are marked "Web correction", with the name of the person who recorded them.

Monthly totals and CSV

The "By month" tab on the Timecards page shows each staff member's totals for the month.

  • It shows days worked, hours worked, breaks, night hours (10 p.m. to 5 a.m.), hourly rate and base pay (estimated).
  • Base pay is an estimate of hourly rate × hours worked. It does not include night or overtime premiums, so add those when you run payroll.
  • Shifts with a missed clock-out are not counted. The page shows how many there are; add the clock-out on the day view.
  • Choose "Export CSV" from the "⋯" at the top right to download a CSV for payroll. Hours are written as decimals, such as 7.50.

Who can use it
