Issuing and Disabling Transaction QR Codes

Separately from the fixed QR code assigned to a register, staff can issue a QR code individually for a specific past transaction. This is used, for example, when a customer contacts you later asking for their receipt, or when a customer scans right after checkout but the scan fails. This article explains how to issue one and how to disable it if issued by mistake.

What is a transaction QR

  • A one-time QR code tied to a single transaction — the target transaction ID is fixed, and no other transaction's receipt is shown.
  • Automatically disabled once used — the moment a customer scans it and receives the receipt, it switches to a "used" state. The same QR can't be reused.
  • Has an expiration — it automatically expires 24 hours after issuance. If a customer scans an expired QR, an error screen is shown.
  • A separate system from the register QR — it does not affect the fixed sticker on the register. Issuing a transaction QR doesn't change how the counter operates.

Issuing steps

  • Log in to the store admin screen — go to "Stores" → "Transaction History."
  • Search for the target transaction — filter by receipt number, transaction date/time, amount, etc.
  • Click "Issue Transaction QR" — you can issue it from the button in the upper right of the transaction detail screen.
  • Send the QR image or URL to the customer — the QR image is shown on screen right after issuance. Download and share the image, or send the displayed URL to the customer by email or message.

Disabling (revoking) steps

If you send it to the wrong customer by mistake, or the URL leaks unintentionally, disable it right away.

  • Open the "Issued Transaction QR" list — go to "Stores" → "Transaction QR Management" to display the list of issued QR codes.
  • Click "Disable" on the target QR — the disable button only appears for QR codes whose status is "Issued."
  • Confirm in the confirmation dialog — disabling cannot be undone. Once disabled, that QR can't be used again.
  • Issue a new one from scratch if needed — after disabling, you can issue a new transaction QR for the same transaction if needed.

Status types

  • Issued — nobody has scanned it yet. Ready to hand to the customer.
  • Claimed — the customer scanned it and received the receipt. It switches to this state automatically.
  • Revoked — staff disabled it manually. An error screen is shown if a customer scans it.
  • Expired — 24 hours have passed since issuance. It switches to this state automatically.

Audit log

Every issue and disable action is recorded in the audit log. From "Stores" → "Audit Log," you can confirm who issued or disabled a QR for which transaction, and when. Use it for troubleshooting or security investigations.

Operational notes

  • Verify identity before issuing — anyone holding the URL of a transaction QR can retrieve the receipt. Only hand it over face-to-face or to a contact whose identity has already been verified.
  • Avoid issuing multiple QRs — issuing several for the same transaction clutters the log. As a rule, issue one QR per transaction.
  • No need to wait for expiration — it's safer to disable it as soon as it's no longer needed, rather than waiting the full 24 hours.
