Closing a Business Account
Closing a business account permanently deletes all of its data — stores, products, customers, staff, transaction history, POS integrations, and everything else. This action cannot be undone. This article explains what to check before closing, how your Stripe subscription is handled, the steps involved, and the impact on anyone connected to the account.
Only the owner of the business account can close it. Staff and other manager-level roles cannot.
Data that gets deleted
- All stores and POS terminals (including Square / Smaregi integrations)
- Product master (PIM) — every record
- Customer data (CRM) — every record
- Staff information
- Transaction history and sales analysis data
- SNS integrations, coupons, and campaigns
- Future transaction intake from any connected POS (webhooks are stopped)
How your Stripe subscription is handled
If you're under contract for a paid plan, the moment you close the business account your Stripe subscription stops auto-renewing as of the next billing date.
- Fees for the current billing period are not prorated or refunded (this follows standard industry practice).
- No further charges occur after the next billing date.
- Access to the business account ends the moment you close it (you cannot keep using it even if time remains in the billing period).
If you want to make the most of the remaining time on your billing period, consider timing the closure to just before your next billing date.
What to check before closing
- Export any data you need: We strongly recommend downloading transaction history, customer data, sales reports, and anything else you might need later, before you proceed.
- Disconnect your POS integration: Uninstalling the "ReceiptRoller Link" app from the Square / Smaregi admin screen prevents transactions from accidentally still being sent.
- Notify your team: If other staff or managers are using the account, closing it removes access for everyone. Let them know in advance.
- Check your SNS integrations: Any scheduled SNS posts sent from ReceiptRoller, and your Google Business Profile connection, will stop.
Steps
- Open the top page of the business account you want to close
- Open "Edit Business Account"
- Check the Danger Zone section at the bottom of the page
- Click "Proceed to Close Account"
- The confirmation page shows what data will be deleted and how your Stripe subscription is handled
- In the confirmation field, type the business account name exactly as shown (to prevent accidental clicks)
- Click "Permanently Close Business Account"
What happens after closing
- The business account's URL (
/organizations/{ID}/...) no longer resolves. - Members who belonged to that business account no longer see it in their member list.
- Digital receipts issued to customers in the past remain in the customer's app as-is (consumer-side data is managed separately).
- Stripe billing stops as of the next billing date.
Can this be undone?
No, it cannot be restored. You can create a new business account with the same name, but it will not inherit any past data, integration settings, or subscription history.
How this differs from deleting your user account (login account)
This article covers closing a business account (a business account / store-operating unit). Deleting your own login account (user account) is a separate operation. If you want to delete both, close the business account first, then use "Delete Account" in your user profile.
